This page informs you about how we process personal data in relation to the Aerorozvedka.cz website, especially when subscribing to our newsletter. We process personal data in accordance with the requirements of the General Data Protection Regulation (GDPR) and the relevant legal regulations of the Czech Republic in the field of personal data protection. Our goal is to clearly inform you about what data we collect, why we process it, how long we store it, who may have access to it, and what rights you have in this regard.

Who We Are (Data Controller)

The controller of your personal data (i.e., the entity that determines the purposes and means of processing) is the association Aerorozvědka z.s., (Aerorozvědka z.s. is a non-profit organization registered in the association register in the Czech Republic.) If you register for our newsletter on our website, Aerorozvědka z.s. acts as the data controller responsible for the lawful and secure processing of your data. What Personal Data We Process

Personal data provided when registering for the newsletter: We primarily process data that you fill in the registration form on our website. Specifically, this includes name, surname, and email address. This data is necessary so that we can address you and send you updates. We may also process other data that you voluntarily provide, such as a telephone number (if it is part of the form and you decide to provide it).

Technical and logging data: When subscribing to the newsletter, certain technical data is also recorded, such as the IP address of the device from which you are registering, as well as the time and date of registration. This data serves to verify consent and to secure the system (e.g., prevention of misuse). We do not use it for any other purposes, and it is stored only to the extent strictly necessary.

Purposes of Personal Data Processing

We process your personal data only for specified purposes, based on your subscription to the newsletter. Specifically, we use the data for these purposes:

  • Sending newsletters – Regular information about the activities, projects, and news of Aerorozvědka z.s. through email messages. The newsletter may contain updates about our association, information about ongoing fundraising campaigns, projects, events, or other activities, as well as acknowledgments to donors and supporters, etc.
  • Sending marketing and promotional messages – Occasionally, we may also send you other notifications related to our activities by email, such as invitations to events, campaigns to support our activities, or calls to get involved in volunteer activities. However, these will always be messages related to Aerorozvedka and our non-profit activities (not third-party commercial advertising).
  • Informing about association developments – In addition to updates in the newsletter, we may inform you individually, if you are our registered supporter, about important changes, such as changes to our contact details, policies, conditions, or other facts necessary for transparent communication with you.

We assure you that your data will not be used for any other purpose that would not be compatible with those mentioned above. For any other processing, we would request your separate consent if needed.

We process personal data for the purpose of sending newsletters and related communications based on your consent. This means that we will begin processing data only after you give us consent, for example, by filling out and submitting the newsletter subscription form (actively checking the box to consent to the subscription terms). Consent is entirely voluntary – if you decide not to subscribe, we will not process your personal data for this purpose.

You have the right to withdraw your consent at any time. Each newsletter you receive from us contains a link in the footer for easy unsubscription – just click on it, and your email address will be automatically removed from the mailing list. Alternatively, you can withdraw your consent by contacting us by email at info@aerorozvedka.cz with a request to cancel your subscription. Withdrawal of consent has no retroactive effect – until the moment of withdrawal, the processing of your data based on consent was legal. After withdrawing consent, we will no longer use your data for sending newsletters.

Data Retention Period

We will store your personal data only for as long as necessary, considering the purpose for which it was provided. Specifically, data obtained for sending newsletters is stored until you withdraw your consent to processing (i.e., unsubscribe). If you do not withdraw your consent, we will process your data for the duration of Aerorozvědka z.s.'s active operations – in the event of termination of the association's activities or cessation of newsletter distribution, we would delete your data. Additionally, we reserve the right to retain certain data even after consent withdrawal if necessary to fulfill our legal obligations or to demonstrate compliance (e.g., in case of an audit to prove that we had your consent; in such a case, we would only hold the data for the period stipulated by the relevant legal regulations).

We continuously assess whether there is a continued need to process your data. If we determine that the data is no longer necessary for the stated purposes, we will delete it or anonymize it.

Recipients and Processors of Personal Data

Your personal data is accessible to our internal team at Aerorozvědka z.s., which is responsible for organizing the newsletter and communicating with subscribers. These authorized members handle the data only to the extent necessary to fulfill the purposes mentioned above and are bound by confidentiality obligations.

For some activities, we use specialized external services to which we provide your personal data to the necessary extent as processors (i.e., entities that process data according to our instructions). Currently, we primarily use:

  • Ecomail.cz, s.r.o. – a platform for email marketing and newsletter campaign management. Ecomail provides us with a technical solution for sending bulk emails; data such as your name and email are stored in this service's secure database. Ecomail.cz, s.r.o. is based in the Czech Republic and is among the verified providers of emailing tools in compliance with GDPR. We have a data processing agreement with this processor.

Apart from Ecomail, your data is not shared with any other commercial entities for marketing purposes. Data may exceptionally be made available to other recipients only if required by law (e.g., to regulatory authorities) or if necessary to defend our legal claims. We would inform you of such transfers in accordance with the law.

All our external processors handle personal data in compliance with GDPR and only according to our instructions; we also have appropriate data processing agreements with them guaranteeing the protection of your data. Therefore, you need not worry that our partners would use your data for other purposes or without proper security.

Rights of Data Subjects

In connection with the processing of personal data, you as a data subject have a number of rights guaranteed by GDPR and Czech laws. You can exercise these rights at any time, and we will not hinder you in any way. Specifically, you have the following rights:

  • Right of access to personal data – You can ask us to confirm whether we are processing your personal data, and if so, you have the right to obtain a copy of all personal data we hold about you, including information about the purpose, duration, and how we process it.
  • Right to rectification – If you find that we have outdated or inaccurate data about you (e.g., a typo in your name or a change in email address), you have the right to request correction or completion.
  • Right to erasure (right to "be forgotten") – Under the conditions set out in Article 17 of GDPR, you have the right to have your personal data deleted at your request. This applies, for example, if you withdraw your consent and there is no other legal basis for processing, or if the data is no longer needed for the given purpose.
  • Right to restriction of processing – In certain cases (e.g., if you dispute the accuracy of the data or if you believe the processing is unlawful but do not wish to have the data deleted immediately), you have the right to request that we restrict the processing of your data to only the most necessary operations.
  • Right to object – If we were to process your personal data based on our legitimate interest (which is not the case for newsletter distribution, as this is based on consent), or for direct marketing purposes, you have the right to object to such processing at any time. For newsletters based on consent, you can simply withdraw consent instead (see above).
  • Right to data portability – You have the right to receive the personal data you have provided to us in a structured, machine-readable format and to transfer it to another controller at your discretion. This right applies if the processing is based on consent and is carried out by automated means. We will gladly accommodate such a request by providing your data in a common format (e.g., CSV) or, at your request, by transferring it to another controller of your choice.
  • Right to withdraw consent at any time – As mentioned above, you can withdraw your consent to receive newsletters at any time. Withdrawal of consent means that we will terminate the processing of your data for that purpose, and you will no longer receive the newsletter. Withdrawal of consent does not affect the lawfulness of previous processing.
  • Right to lodge a complaint with a supervisory authority – If you believe that we are processing your personal data in violation of legal regulations, you have the right to file a complaint with the Office for Personal Data Protection (ÚOOÚ). ÚOOÚ is an independent body overseeing compliance with personal data protection rules in the Czech Republic. You can file a complaint, for example, through the office's website or in writing to the ÚOOÚ address (Pplk. Sochora 27, 170 00 Prague 7). However, we would appreciate if you would try to resolve any issues with us first – we take your privacy seriously and will try to remedy any shortcomings.

Exercising your rights: You can exercise all of the above rights by sending a request to our contact email info@aerorozvedka.cz. We will address your request without undue delay, no later than 1 month from receipt of the request (in exceptional cases, we may extend the deadline to 2 months, of which we would inform you). Providing information and carrying out the requested actions is free of charge. If we were not to comply with your request, you have the right to contact the ÚOOÚ mentioned above.
